General Membership Meeting January 9, 2004

INDIAN RIVER CORVETTE CLUB
Meeting Minutes
Friday, January 9, 2004

The first meeting of year 2004 of the Indian River Corvette Club was Called to Order by President Rob Callery at approximately 7:15 p.m. at Bombardier’s with Rob wishing a very Happy New to all!

Sign-in / Member Info Sheet was made available. Rob asked members to verify / add / correct / delete, and then initial membership information to insure correctness.

Introduction of New Members/Visitors: President Rob welcomed guests Brian Dunne (Bob and Nan’s son), and Bonnie and Steve Phiester, owners of two Vettes and also The Longevity Fitness Club and Spa (Cathie and Rob’s guests).

There was no December meeting, therefore, no Meeting Minutes.  Rob thanked Dan and Ro Bryant for their time and effort in organizing our club’s Christmas Party – with special thanks to ‘Rasta Santa!’  Once again, very well done and a good time had by all.  Thanks were also extended to both Tom Quina for his great work on our web site, and to Dick Kesler for his great work on our Newsletter.  Their time and dedication to these important tasks are so appreciated.  Condolences were extended to Terry and Sue Smith and to John Trimpe on the recent loss of their Mothers.  Deepest sympathy extended from all members.

Treasurer’s Report was reviewed by Amy Harp reporting a balance to-date of $1,807.05.  Current membership tallies at 101 members!

Old Business included Ro discussing the Christmas party date that had been the first Saturday in December, which is the same date as the Christmas parade.  After club discussion, it was requested that Ro explore facilities’ availability for the second Saturday in December at 7:00 p.m.  More from Ro later, but do pencil in the second Saturday in December on your calendars.

Activities information included an invitation to IRCC for participation in the “Under the Oaks” show on February 28th.  Registration’s from 8a.m. – 11 a.m.  with the show hours 10:00 a.m. till 4:00 p.m.  Pre-registration (till 2/28) fee is $12.00.  After discussion and enough ‘show of hands’ for participation, it was agreed our club would do Hobo Stew after the show.  Members participating in the show should bring a can of vegetables for the stew – the Club will supply the stock and meat.  In the Sperry’s absence, it was decided we’d ask Denver and Sharon to take on the stew making job – if they’re not available, Dick and Lucy Kesler volunteered to do so.

Reminder was made of a special mystery dinner ride this month organized by Karl and Bonnie Steene for Tuesday, January 27th, leaving the Mobil station at 6:00 p.m.   Envelopes with surprise destination will be with the clerk inside the station for any latecomers.  Tom and Hollyann Quina will host the February 24th dinner cruise – thanks for volunteering, Tom and Hollyann.

John Muldoon informed all of an upcoming Four Freshman Concert on Monday, March 22, 2004 at 8:30 p.m. at the Riverside Theatre.  Tickets will be $27.50.  Mark your calendars if you’d like to attend.  John will confirm attendance at next month’s meeting.

Dick and Lucy Kesler took a head count of members planning on attending the Tri-county Vette Social at Hurricane Harbor on Sunday, January 11 at noon.  IRCC members wishing to caravan north will meet at the east end of the parking lot near T.J. Max’s on Miracle Mile.  Harry Butler will lead the caravan, which will leave at 11:30 a.m. for Riverview Park in Sebastian.

New Business included nominations by the Board of the following:

Newsletter – Dick Kesler
Webmaster – Tom Quina
Historian – Lucy Kesler
Membership Director – Ro Bryant

Nominations were presented, seconded and approved by all as outlined.   Thanks for your acceptance, and congratulations to appointees.

Rob announced the first Board of Directors meeting for 2004 will be on Tuesday, February 3rd at 6:30 p.m. at Cannons.  He expressly extended an invitation to all members – as always, everyone is welcome at our Board meetings.

Our next monthly meeting will be Friday, February 13th, same time, same place…. Between 6-6:30pm. for dinner, with meeting following thereafter.

For C-4 owners, Harry Butler has chrome harness bars and additional pieces and parts available for sale.  If you’re interested or need more information, please e-mail or call Harry directly.  F.Y.I.  Harry will be racing in Sebring soon and he has the particulars if you’d like to attend.

Watch for IRCC year 2003 history soon on our website.  Thanks, Lucy Kesler, for your dedication.   What a great job you do for us!

Rob and Cathie Callery
Dick and Lucy Kesler
Terry and Sue Smith
Amy and Bobby Harp
John Dicken
Bill Ulisky
Tom Quina
Ro Bryant
Sandy Ericsson

 Old Business included the following:

Discussion of club’s insurance coverage: all agreed that after much research and consideration, coverage provided through Sid Banack Insurance Agency is adequate.  Rob thanked all for their involvement, and especially Amy Harp for her efforts in this endeavor.   For our 1-day 2005 car show, additional insured / certificates of insurance can be obtained and mailed to participating clubs.  Cost for this is estimated to be about $200.

The revised membership application by Tom Quina was approved, and after discussion on how to use the application, it was recommended that there are copies on hand at general meetings.  The application’s also available on our web site.  It was suggested that officers carry a couple of applications in their cars.  Club business cards are still available for use by members.

For clarification / insurance purposes, it was agreed that our “club” sponsored activities and other “Corvette” type events will be clearly outlined separately on our web site.

Rob stated the new sign in sheets are working well at our monthly meetings.

With our accounting procedures fine-tuned, it was agreed a paper copy of the Treasurer’s Report will be available at the monthly meetings and the report will be reflected in our minutes.

 New Business included the following:

It was agreed that we pay the full year rental fee ($68,00) for our club post office box.  Amy will mail in check.

The Board discussed and approved the following Committees / Chairmen

Ø      Membership – Ro Bryant

Ø      Charity – Dan Bryant

Ø      Car Show 2005 – Harry Butler (with a request for additional volunteers).

Dick Kesler will provide a list of sub-committees for inclusion within that committee’s structure.

In an effort to keep “fun” in The Friendliest Corvette Club in Florida,” Sue Smith reviewed possible future activities with the Board that may include a trolley ride, visit to the Brevard Zoo, trip to the Andretti Thrill park, Hurricane Harbor cruise, Harbor Branch Oceanographic lagoon tour, McKee gardens tour, ice skating, Forever Florida ranch tour and maybe even a stay over trip to Silver Springs.  See Sue or Terry with always-welcome new ideas.   Sue then briefly reviewed activities that will be presented in greater detail at our general meeting on Friday, April 9, 2004.

After review of past criteria for our monthly mystery dinner cruises:  themes (general themes o.k.), distance (1-hour drive) and cost (up to $20.00/per person), it was decided that if a mystery dinner cruise is planned outside this customary criteria, the Activities Director would announce particulars at the general meeting giving members the option of attending knowing the dinner cruise would be farther, cost more, would have an unusual theme, etc.  This is meant to avoid surprises to members.

Ro Bryant opened the floor to discussion on unpaid members.  It was agreed that Tom Quina would work up a list of paid and unpaid members.  Ro will continue to actively pursue collection of dues by mailing a reminder and/or approaching unpaid members at the general meeting.

Sandy Ericsson was asked to search for notes and/or minutes for the November 2003 Board of Directors meeting.   If neither is found, Historian, Lucy Kesler, will outline Board nominations for year 2004 and note By-law review / revisions.  Post meeting note:  Sandy reported no minutes or notes found in club folder.  A copy of the revised by-laws is in the folder.

INDIAN RIVER CORVETTE CLUB
Board of Directors Meeting Minutes
Tuesday, August 17, 2004

The fourth Board of Director’s meeting of year 2004 of the Indian River Corvette Club was Called to Order by President Rob Callery at approximately 7:15 p.m. at Cannons with the following in attendance:

Rob and Cathie Callery
Dick and Lucy Kesler
Sue Smith
Bill Ulisky
Tom and Hollyann Quina
Dan and Ro Bryant
Sandy Ericsson

The following agenda items were discussed:

Phone Chain/Tree: Rob brought up for discussion the need of a phone chain/tree when it becomes necessary to advise members of short notice changes, emergencies, etc.  It had been necessary, on several occasions, for club members (i.e., Activities Director(s) to call many members with such advisories.  After discussion, it was agreed that Tom Quina would work up a “random selection by computer” phone tree starting with the President calling two Board members, those two calling two additional members, etc., right down the membership list.   The Board also agreed that our membership phone list would be updated quarterly and distributed to the Board.  Copy available to general membership upon request.

Rob reported receiving a second email from David Brower regarding “financial reporting.”   After a thorough discussion, a motion was made, seconded and approved for a vote of confidence for our club Treasurer, and our financial reporting procedure.   Rob agreed he would respond to David’s inquiry stating such confidence and reiterating the financial reporting procedure satisfactorily meets the needs of our club.

By-laws Review, Changes, Modifications were received and reviewed. A motion was made, seconded and approved on each of the following items. They will be presented to members for consideration and will become effective January 1, 2005 if approved:

Article V, Section D: To run for President, one must be a member in good standing for at least one year prior to nomination, with attendance at approximately 50% of club activities (including out of town activities).

Article IV, Section A:  Dues shall be $30.00 per year and are due on January 1.  New members joining after August shall be credited for the balance of current year and for the entire next year.

New:  Unauthorized Club Representation: No general member or associate member shall represent the Club or Board of Directors in any capacity without prior Board approval.  Approval can be obtained by attending a Board meeting, or via telephone poll conducted by the President or someone appointed by the President to poll the Board on proposed activity.

New:  Any and all ideas, suggestions and recommendations for Club Activities shall be submitted to the Activities Director(s) before any announcements are made to the club members.

New:  Our immediate Past President shall automatically become our Officer at Large.

Tom Quina stated that the Webmaster and the Yahoo Group responsibilities are individually sufficient to warrant a member for each.  It was, therefore, agreed that Tom would remain our Webmaster, and John Dicken would be asked to handle the Yahoo Group task.

Attending Board Members appointed the following Nominating Committee, which is comprised of one Board Member and two General Members:

Bill Ulisky
Karl Steene
Frank Esposito

It was reiterated that members of the Nominating Committee could, indeed, run for office.  Your Nominating Committee will present nominations at our October General Meeting for vote in November.

Club Donations:  Rob was contacted by an employee at 1st National Bank regarding a possible club donation/benefit for Aaron Jesus Pena born July 27 with Spinabifida.  After discussion, it was agreed to recommend a $100.00 club donation be presented for vote at our next general meeting.   Rob will obtain additional information that will be posted on our website to encourage private donations for Baby Pena.

Ro Bryant reported the Sunshine Committee’s functioning well with note that a card had been mailed to John Dicken sending him get well wishes from all.

Activities Director Sue Smith outlined details of the upcoming September 25 Brevard County Corvette Club Poker Run.  Tom Quina confirmed an application form’s available on our site for those interested.

Old Business included:

Dan Bryant relayed additional information regarding our charitable contribution to Citrus Elementary School.  Dan learned the school badly needs a portable sound system.  Daughter, Heather, will price check a system for our consideration with the thought that our club would make a cash donation to the school and the school would purchase the system tax free.  We’d have used of the system if needed.

We also discussed the need for a new club sponsor as Paradise Petroleum (our long time, generous sponsor) has been sold.   Suggestions included Service Chevrolet and Bobby’s Plumbing.  Dan said he would contact Service Chevrolet with the opportunity and benefits of being our club sponsor.  Thank you, Dan.

New Business included:

Lucy Kesler brought up for discussion the possibility of some type of a partially club-sponsored Thanksgiving activity.   After budget review and confirmation of what the club allocates for our Christmas party, the following was suggested.  Dan and Ro graciously offered their home to members for a Thanksgiving gathering on Tuesday, November 9 at 6:00 p.m.  They’d provide the turkeys and stuffing with each member-guest bringing a dish to share.   We’ll RSVP and coordinate dishes with Ro.  This will be BYOB.

There were no General Members present at this meeting.

With no further business at hand, our meeting adjourned.

Respectively submitted,
